Additional Employment
The Additional Employment (2403) process will be changing as part of the transition to CHRS (Common Human Resources System). Academic Affairs is currently finalizing the new process, and ORSP is working with them to determine how these changes will affect additional employment requests.
Until further notice, please continue using the current ORSP Additional Employment (2403) process and . 2403 appointments for fall break are due October 15th.
ORSP will provide updated guidance and instructions once the new CHRS process has been finalized. No changes to the current ORSP submission process are required at this time.
As a reminder, 2403 requests are due on the 15th of the month prior to the start date of your appointment. Requests submitted after the 15th of the month will be processed in the next month’s batch, and pay will be delayed. Below are examples of common deadlines:
- Appointment starts start of fall semester (mid-August): due date July 15
- Appointment starts fall break (end of November): due date October 15
- Appointment starts winter break (after end of fall, mid-December): due date: November 15
- Appointment starts start of spring semester (mid-January): due date December 15
- Appointment starts spring break (end of March): due date February 15
Appointment starts summer break (after end of spring, mid/end-May): due date: April 15
Reassigned Time
Spring 2027:
If you or any faculty are taking reassigned time during spring 2027, please inform the faculty member’s college contacts as soon as possible! Please follow the deadlines from the faculty member’s respective college. Below is the contact information for each college:

Fall 2026:
If you had faculty receiving Fall 2026 reassigned time on your grant(s), you should have received a Smartsheet email asking for information regarding their appointment. Please provide the description, responsibilities, and qualifications as soon as possible.
ORSP will route a Faculty Assigned Time Form via AdobeSign to the faculty and PI, as well as the faculty member’s chair and dean.
Concur Updates
PIs have now been added to the DOA routing for Concur requests and expense reports. If travel is requested by someone other than the PI, their request will automatically be routed to both the PI and ORSP for approval (similar to the process in AdobeSign). If a PI requests travel, it will skip their own approval, and route directly to ORSP. There is no need to ad-hoc ORSP for approvals.
PIs, please be sure to check your Concur accounts for request and report approvals regularly.

Effort Certifications
If you worked on a federal grant (Funds starting with W1) between January 2026 and June 2026, please keep an eye out for an effort certification document routed to you via AdobeSign. Please review and sign at your earliest convenience.
